What is Prioritization and some of the Best Task Management Tools

Let me start by wishing you all and your family Merry Christmas and in just five days, we will be saying goodbye to 2023 and welcoming the arrival of 2024.

Reflecting on 2023, it stands out as a remarkable year. It brought a wealth of events and learning opportunities, especially in honing my writing discipline. However, I have come to realize the importance of refining how I prioritize tasks, especially within the realms of work and business.

In this article, let us explore the basics of prioritization and delve into some of the best task management tools available in the market.

What is Prioritization?

Prioritization is the process of determining the order in which tasks should be completed, based on their importance and urgency.

It’s essential for effective time management, productivity, and goal achievement.

Here are some of the proven methods on how to prioritize tasks:

  1. Create a comprehensive task list: Write down all the tasks you need to complete, both big and small. I use to feel I have a list of never ending tasks and always thinking and worried about them – this is where the task list came to picture clearly telling what am i supposed to accomplish.
  2. Assess importance and urgency: Evaluate each task based on its importance (how much it contributes to your goals) and urgency (how soon it needs to be done). Now, atleast you know what to do and what is important
  3. Use a prioritization method: There are several methods to help you prioritize, such as:
    • Eisenhower Matrix (Urgent-Important Matrix):
      • Divide tasks into four quadrants: Urgent and Important, Not Urgent but Important, Urgent but Not Important, and Not Urgent and Not Important.
      • Focus on tasks in the first quadrant first.

  1. Schedule your tasks: Once you’ve prioritized, schedule them into your calendar or task management tool, considering deadlines and available time.
  2. Reassess regularly: Priorities can change, so review your list regularly and adjust as needed.
